How do I release a refund payment in the order management system?
Step-by-step instructions for locating orders, verifying refund status, and releasing payment to customers.
Issuing a refund is a critical part of providing mitigation or a discount to keep our customers. To ensure the process goes smoothly and accurately, follow the steps below when releasing a refund within the order management system.
🔍 Locate the Order
- Navigate to the Orders section in your dashboard
- Enter the Order Number for the return or refund request.
- Double-check that you’ve selected the correct order associated with the return.
🟡 Check the Refund Status
- Confirm that the order status is marked as “New.” This means the payment has not yet been released, and action is required.
🧾Release the Payment
- Click on the “Actions” button.
- From the dropdown, select “Release Payment.”
- If the transaction is successful, you’ll see a confirmation message: “Payment Release Success.”
- The status of the order will now change to “Refunded.”
📘 Verify the Payment Was Issued
- Go to the Order Payments section of the order details.
- Confirm that the “Amount Credited” reflects the full amount that needs to be refunded.
- Click the eyeball icon to review detailed payment info.
✅ Final Confirmation
- Ensure that the “Amount Authorized” and the “Amount Credited” are identical. This verifies the full refund was released to the customer.
- Click on “Payment Transactions.”
- If the field shows “Yes,” the transaction was successfully completed — no further action is needed.
